Community Use of Beaverton Schools District Facilities

Beaverton School District (BSD) allows individuals and community members to apply for facility use when space is available. However, requests must not interfere with instructional programs, student athletics, or school-related activities. School sponsored events will always have priority over other requests.

How to Apply

Beaverton School District has partnered with Facilitron for all our facility use reservations. Facility Use reservation requests must be submitted and approved through our online reservation system; there are no verbal agreements.

Important Considerations for Requesting Use at a Beaverton School District Facility

  • Facility Use requests will only be considered for events held between October 1 and May 31.       Child care vendors may operate in September and June during the school year.

  • Events will not be approved during emergency or weather-related school closures, holidays, or long weekends.

  • All requests must be submitted to Facilitron. There are no verbal approvals for use.

  • Requests must be submitted at least 14 days in advance, but preferably 30 days in advance, for consideration.

  • A non-refundable $25 application fee will be applied to all community requests.

  • Rental fees and staffing costs will be invoiced by Facilitron and must be paid in full before the event.

  • All Facility Use approval is dependent on staff availability to support the rental.

  • Requesters will upload their organization's insurance when making their request.

  • Only limited elementary and middle school gyms, cafeterias and fields are available for rental.

  • High school auditoriums and stadiums are not available for community use and are reserved for school-sponsored events.

  • Spaces are rented as is; school equipment such as microphones, projectors, podiums, special lighting, extra chairs and tables is not provided.
  • Food may only be served and consumed in the cafeteria.

  • All approved rentals require BSD personnel on site (e.g., building monitor or custodian). A custodian is required for all weekend use.

  • Requests will be considered during these hours:
    • Weekends: Elementary and middle schools 8:00 a.m.–6:00 p.m.
    • Schooldays: Elementary schools 6:00– 9:00 p.m. | Middle schools 5:30– 9:30 p.m

    • All participants must exit the building by these times.

Elementary After-School Enrichment Programs

  • Program dates: October 1 – May 31
  • Fall term reservations open August 1
  • All events must conclude by 4:00 p.m., when the front office closes or a Building Monitor will be required depending on staff availability.
  • Reservation terms:
    • Fall: October – December
    • Winter: January – March
    • Spring: April – May

Facility Closures & Outdoor Use

  • If BSD closes due to inclement weather, all facility use is canceled.
  • Elementary and middle school playgrounds may be available for family use after in-person instruction. However, security gates may be locked by the school based on site security and safety concerns.
  • High school turf fields and gates remain locked when school is in session. Access gates to fields and track may be locked based on site security and safety concerns.
